Each partner and associated partner will nominate a Task Leader who will be responsible for the detailed
coordination, planning, monitoring and reporting of the tasks allocated to the partner or involved parties.
The Project Coordinator, Scientific Coordinator, Project Manager &the Exploitation & Dissemination Managers :
The Project Coordinator will be Dr SAUBION of Cirtem entrusting The project manager Dr Christian
Gronoff, with 34 years experience in industry and services, having managed several European projects over last 10
years, will be responsible for the day-to-day coordination of the project. He will also be the main interface between
the Consortium and the European Commission. He will consolidate the project planning, progress reports,
milestone reports, cost statements and budgetary overviews etc. using the inputs from the other partners and he will
coordinate the communication between the partners. He will be in charge also of the management server & giving
the impetus to task leaders.
Acting also as Exploitation Manager, he will handle issues concerning the exploitation of the research results,
as well as all matters relating to ensuring a successful immediate exploitation of results.He will co-share the
communication strategies with the executive committee. Patenting and IPR will be also part of his duty.
The Scientific manager, Prof Cirrincione, based also in France, with assistance of key partners, will concentrate
on managing the scientific objectives. Because of the geographical high-proximity of the coordinator and scientific
manager, the project management will be made easier.
The Dissemination Manager will be Prof. Karel Jezernik for this experience in the matter is proven.He will
liaise with the project manager to coordinate the synergistic tasks between dissemination and exploitation plans.
B.5.2 Project management implementation:
Milestone reviews
At each key milestone, the progress of the project and outlook for exploitation of the results will be critically
reviewed compared to the planning and criteria described in this work programme.
Depending on the progress and the results achieved, a change in the work programme may be proposed.
Alternatively, in case of insufficient technical results or poor outlooks for further exploitation of the results, it can
be decided to discontinue the project. For the Mid-Term Assessment and Final Assessment a special review
meeting will be organised with the Executive Committee and a representative of the European Commission.
External and Internal Communication strategy :
Internal Communication: The communication strategy aims to keep all the partners fully informed about the
project status, the planning and all other issues which are important to the partners in order to obtain maximum
transparency for all involved and to increase the synergy of the cooperation.
External Communication: The communication strategy also aims to effectively communicate with parties outside
the consortium, such as with other European project consortia, other potential users of the subject equipment,
standardisation Committees, by including project summary in relevant database, etc. The communication strategy -
which includes a planning for publications to be made, presentations to be given and conferences to be attended on
behalf of the Consortium - will be a topic at each Executive Committee meeting. Network of Excellence in areas
pertaining to the project may be solicited with the Commission ‘s authorisation to further enhance the quality of the
project.
A special area of the dedicated management server, will be dedicated to the External Communication following the
recommendation given on the FP6 Cordis server.
Internal Project Monitoring and reporting its progression
Each partner and Work package Leader will report on line on key task progress so as to provide input for the
Project Coordinator monitoring system (including technical progress, results obtained (deliverables) and
compliance with the work programme) as well as the assessment system (including percentage of completion,
estimated time to completion, actual man-months spend and man-months needed to complete the task) The
Coordinator will summarise the overall project status and planning. To this end he will also regularly update the
bar chart , the manpower matrix., the preparation of the project reports and take care of their on-line access.
Reporting to the Commission:
Although, all the project different monitored variables will be kept updated each week, and accessible by the
Commission services, each 6 months, the Coordinator will prepare, on the basis of the cost and technical
statements he has received from the partners, contractual paper reports for submission to the Commission .
